How do I make a booking?

What is the minimum/maximum age limit when renting a vehicle?
Cumbria Vehicle Rentals requires drivers to be 22 years of age or older and have held a clean driving license for at least two years. The maximum age limit allowed through our insurance is 75 years of age (please call 01900 605391 for further details).

What is the maximum length of time I can rent a vehicle on a single agreement?
The maximum length of time you can rent a vehicle on a single agreement is 28 days. Should you wish to extend this rental period, a new rental agreement must be created. This is only the maximum amount of time the vehicle can be rented on a single agreement and not the maximum length of hire available, our vehicles can be rented for as long as you require them. Please contact the rental branch for further details.

Do I need a special license to drive a commercial vehicle?
Most of our commercial vehicles can be driven with a standard license. Your driving license will have pictograms of vehicles on it; these pictograms are representations of the types of vehicle you may drive. Our staff will be on hand to help and inform you on all the license requirements concerning our different commercial vehicles.

Can another person drive my rental vehicle?
A maximum of three additional drivers are allowed for each vehicle, although they must conform to minimum/maximum age requirements, present a valid driver's license and secondary identification, and have a clean driving record. Additional drivers are priced at £3.00 per day, although reduced rates are available for weekend and weekly rentals.

Can I take the car abroad?
Most vehicles on our fleet are eligible to be taken abroad during your hire. There are certain vehicles on our fleet which we do not allow to travel abroad, and there are certain countries which fleet vehicles can not travel to. Please check at the rental branch before booking your vehicle.

What documents will I need to provide?
You will need to provide the following information when making a booking:

  • the dates and times of travel
  • the rental location(s) for collection and return
  • the Vehicle group required
  • Any discount Vouchers if you have one


We will then check for availability and provide a vehicle rental quote.

You will then have the option to confirm the booking. Once you confirm the booking, you will be asked to provide your personal details.

Is there a mileage limit?
All our vehicles offer free unlimited mileage, unless otherwise stated. If there is a mileage restriction on a vehicle which you are planning to hire, we will advise you before the booking is confirmed.

Can I book more than one vehicle at a time?
Yes, but when booking multiple vehicles please give us adequate notice as all vehicles are subject to availability. Each vehicle will have its own separate rental agreement.

Can I choose a specific model?
Our vehicles are grouped according to engine size. Unless availability of a specific model has been formally confirmed, Cumbria Vehicle Rentals can only guarantee the category reserved.

What about payment?
Cumbria Vehicle Rentals accept the following methods of payment:

  • All major credit cards
  • Cash
  • Cheque's (supported by guarantee card)

Payment is taken before you collect the vehicle from the rental branch. We will only charge you for the cost of the booking and a refundable fuel deposit.

Aside from the basic rental costs are there any additional charges?
We do not believe in hidden extras. Your Rental quote plus a refundable fuel deposit will equip you with everything you need to drive away your new hire car away. Should you require any of the following optional services they are available for additional charges:

  • Additional Driver
  • DVLA License Card
  • Optional Insurances

Will there be fuel in the car?
Most of our vehicles are supplied with a full tank of fuel.

Do I need to check the condition of the vehicle prior to leaving the location?
A pre-rental check sheet will have been completed prior to your arrival. However, we would urge you to check over the car yourself before signing for the vehicle. If you notice anything at all, please inform a member of staff who will record it on the check sheet.

Insurance

Does Insurance cost extra?
Your rental Quote will provide you with the basic insurance you need to drive your new hire vehicle away.

Am I covered for liability?
All our Vehicles are covered for Legal Liability, Third Party and Public Liability, as a legal requirement. This does not cost extra and is included in your rental price.

During your hire period

What if I break down or need help outside office hours?
For your convenience a 24 hour Roadside Assistance is provided in case of an emergency, breakdown or accident involving your rental vehicle anywhere in the UK. A breakdown number will be supplied when you collect your vehicle. If you are traveling outside the UK, please check at the rental desk for breakdown assistance in your country of rental.

What happens if the car gets damaged?
A pre-rental check sheet will have been completed prior to your arrival. However, we would urge you to check over the car yourself before signing for the vehicle. If you notice anything at all, please inform a member of staff who will record it on the check sheet.

Upon returning your vehicle, we will re-inspect the vehicle. If there is any new damage on the vehicle you will have to pay the cost of repair up to the replacement value of the car, unless you are covered for Collision Damage Waiver, in which case you will only have to pay an excess.


Can I extend the rental period?
You can extend the duration of your rental period at any time before the rental commences. However, this will affect the cost of your rental.

To extend the rental period once you have picked up your car, please contact the rental location to make the necessary amendments.

Returning your hire vehicle

Where can I drop the car off?
The rental vehicle should be returned during office hours to our Workington branch (at the address below), unless alternative arrangements have been pre-agreed.

Can I return the car outside office hours?
Vehicles should not be returned outside of office hours under any circumstances. If you have any queries please contact our offices on: 01900 605391.

What happens if I return the car late?
Late returns can affect the type of rate assigned to your rental. In the majority of cases, vehicles which are less than one hour late (our grace period) will not be charged for extra hours. Returns of over an hour late will incur a charge for an extra days hire. Please bear in mind that our insurances only cover you for the period mentioned on your rental agreement.

If I bring the car back early can I have a refund?
We will only charge you for the time you have the car - charged in 24 hours time blocks with a 1 hour grace period. So if you had the Rental vehicle for over 25 hours this would count as 2 days. Please contact our rental office if you decide to return your vehicle earlier than expected.

Do I need to refuel before returning the car?
All vehicles are supplied full of fuel and should be returned full. If you return the vehicle with less fuel in the tank then it was supplied with Cumbria Vehicle Rentals will fill the car up and you will be billed at current retail pump prices.

When is my invoice due?
Unless other arrangements have been agreed, payment of your invoices is due immediately.

Why have I received an invoice when I paid by credit card?
 Cumbria Vehicle Rental automatically sends an invoice as a copy for your files.

Who do I contact when I receive a reminder?
If you receive a reminder there will be a contact number supplied on the reminder for you. 

How do I leave feedback?
Cumbria Vehicle Rentals welcomes and encourages all your feedback, both positive and negative. There are feedback cards and a feedback box in our branch reception at Workington and there is a feedback form provided on the contact us page.

Do you sell Ex-Rental Vehicles?
Most of our vehicles are on manufacturer buy back programs and must be returned to the manufacturer after Cumbria Vehicle Rentals has finished with them. However we do regularly sell ex-rental vehicles which do not fall into the above category. If you are interested in purchasing any of our ex-rental vehicles please contact us on 01900 605391.

What is a rental agreement?
A rental agreement is a formal contract, signed by Cumbria Vehicle Rental and the customer at the time of check-out, which outlines the terms of the rental, the vehicle statement and the rate applied.

Does Cumbria Vehicle Rentals offer one way rentals?
Yes, Cumbria Vehicle Rentals is able to offer you a one way hire services which covers most UK destinations (including airports). One Way rentals are subject to a separate pricing structure to our standard vehicle hire, please feel free to call us on 01900 605391 to discuss your requirements. Read more about our one way hires.

When do your weekend prices start and finish?
A reduced weekend special rate is available for hires running from 16:00 hours on a Friday afternoon until 08:30 hours on a Monday morning. Extended weekend hours are often available for bank holidays and seasonal promotions.

Am I permitted to tow on your insurance?
Our insurance will not permit you to use any of our vehicles to tow. However, if you can assume independent insurance, and provide us with all the relevant details from your insurance policy, then we would be happy to provide you with a vehicle equipped for towing.
